Job Title: Accounting Clerk

Department: Finance

Classification: Full-time, On-site, Hourly position

Reports to: Controller

Shift Responsibilities: Primarily day shift

Position Summary

The Accounts Payable Clerk is responsible for the accurate and timely processing of invoices, payments, and expense reports for a high-volume milk co-packing facility. This role ensures compliance with company policies, vendor agreements, and food manufacturing regulatory requirements while maintaining strong internal controls. The position requires experience with ERP systems, specifically NetSuite, and the ability to operate effectively in a fast-paced production environment. This position requires strong organizational skills, continual initiative to improve processes, and the ability to collaborate effectively with colleagues. This role is ideal for someone who thrives in a collaborative environment, values accuracy, and is motivated to contribute to the organization’s success through effective financial management. This position shares responsibility for supporting Suntado’s food safety, quality, and legality programs in alignment with British Retail Consortium (BRC)/Global Food Safety Initiatives (GFSI)/Preventative Controls Qualified Individual (PCQI) guidelines.


Essential Duties and Responsibilities


Accounts Payable (AP):

  • Review, verify, code, and process invoices and purchase orders accurately and in a timely manner into our ERP system (NetSuite).
  • Match invoices to supporting documents (e.g., purchase orders, delivery receipts) to ensure compliance.
  • Manage vendor relations, including responding to inquiries and resolving discrepancies.
  • Reconcile accounts payable subledger to the general ledger monthly.
  • Process payments, including checks, ACH, and wire transfers, while maintaining proper documentation, security, and verification.
  • Assist in month-end closing by preparing AP reports and schedules.
  • Maintain vendor files, including W-9s and payment terms


General Accounting & Process Improvement:

  • Ensure accurate coding of transactions to appropriate accounts.
  • Assist in maintaining accurate and up-to-date vendor and customer records.
  • Suggest and implement process improvements to enhance data accuracy and operational efficiency.
  • Support audit preparation and respond to auditor inquiries as needed.
  • Collaborate with colleagues to ensure smooth financial operations within the organization.
  • Assist with daily cash postings and bank reconciliations
  • Support month-end close processes, including journal entries and accruals
  • Maintain accurate and organized financial records for audit readiness
  • Assist with inventory and cost tracking related to co-packing operations

Cross-Functional Collaboration

  • Partner with Purchasing, Receiving, Production, and Sales teams to ensure accurate billing and cost tracking
  • Communicate with vendors and customers to resolve issues efficiently
  • Support continuous improvement initiatives within accounting processes

Qualifications

Education & Experience

  • High school diploma or equivalent required
  • Associate’s degree in Accounting, Bookkeeping or related field preferred
  • 1–3 years of accounting or bookkeeping experience, preferably in manufacturing or food processing
  • Experience with NetSuite ERP preferred
  • Familiarity with manufacturing-related accounting processes and terminology.

Knowledge, Skills & Abilities

  • Strong knowledge of accounting principles and practices (AP, AR, GL, GAAP)
  • Experience with high-volume transaction processing
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUPs a plus)
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities and meet deadlines
  • Effective communication and problem-solving skills
  • Excellent attention to detail and a high degree of accuracy.
  • Proven ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Proactive approach to identifying and solving problems.
  • Demonstrated ability to improve processes and maintain data integrity.
  • Knowledge of manufacturing workflows and cost structures is a plus.
  • Strong verbal and written communication skills.
  • Ability to communicate efficiently and effectively with team members across departments.
  • Ability to build strong relationships with vendors and customers.
  • Confidence in asking questions and seeking clarity to ensure accuracy.
  • Professional demeanor in phone, email, and face-to-face interactions.
