Job Summary
The Contract Administrator (CA) is responsible for managing the end-to-end contracting process for construction, development, and consultant contract agreements. This role will solicit proposals via Request for Proposals (RFP) processes, draft comprehensive contracts, and maintain compliance throughout the project lifecycle to ensure efficient, secure, and cost-effective development projects. The Contract Administrator will interface with design professionals, brand representatives, partners, legal teams, and operational stakeholders to ensure that project objectives are achieved. The CA will liaise with the Director of Project Accounting to ensure consultant and service contracts are tracked within the Project Budget and are compliant with the internal processes for archiving files.
Key Responsibilities
Contract Administration & Consultant Management
· Administer consultant agreements and amendments in coordination with Project Accounting and Legal.
· Maintain comprehensive contract logs, insurance certificates, and related documentation.
· Review proposals for additional services and advise on scope alignment and commercial implications.
· Ensure all subcontractors are paid accurately and in compliance with contract specifications and lien waivers.
· Manage the execution process, including obtaining signatures from authorized signatories and distributing completed packages.
· Oversee compliance of consultants with contractual scopes, deliverables, and timelines.
Budget, Financial Oversight & Reporting
· Track consultant contracts and amendments against approved development budgets.
· Review and approve monthly invoices in accordance with contractual terms to ensure accurate and timely payment processing.
· Participate in monthly budget reviews to assess cost exposures and provide analytical support.
· Assist with lender reporting requirements, including participation in monthly payment application meetings and provision of supporting documentation.
· Compile project information required by partners, insurers, lenders, and third-party inspectors.
Job Qualifications
· Bachelor’s degree in Real Estate, Architecture, Engineering, Construction Management, Finance, or a related field.
· Minimum of five (3) years of experience in real estate development, with strong preference for luxury hospitality, resort, mixed-use, or high-end residential projects.
· Demonstrated experience managing consultants, contracts, and budgets within complex development environments.
· Advanced proficiency in Microsoft Excel, Word, and related project management tools.
· Exceptional written and verbal communication skills, with experience interacting with senior executives, institutional partners, and external stakeholders.
· Ability to work independently in a fast-paced, entrepreneurial yet institutional environment.
