Executive Personal Assistant to Private UHNW Executive (Large Remote Flexibility) – $200k-$250k plus fully paid benefits!
We are seeking a highly organized, detail-oriented Executive Personal Assistant to support a dynamic, globally active UHNW Executive / Principal with a diverse portfolio spanning business ventures, investments, and philanthropic initiatives. He is known to be warm, engaging, and not a purely transactional Principal.
This role operates at the intersection of executive and personal support, managing a complex and ever-evolving ecosystem that includes professional obligations, personal logistics, and high-touch external relationships. The Principal maintains a fast-paced schedule across multiple time zones, requiring an EA/PA who can anticipate his needs, prioritize effectively, and operate with a high degree of autonomy.
There will be some face to face time with the Principal at his office when he is in Palo Alto, however the role offers a high degree of flexibility given the Principal's frequent travel, allowing the assistant to manage their schedule with autonomy.
Responsibilities:
- Manage a complex, fluid calendar across multiple time zones, ensuring seamless coordination of his professional, personal, and philanthropic commitments
- Coordinate extensive domestic and international travel, including multi-leg itineraries, last-minute changes, and real-time problem-solving
- Serve as a central point of contact across a broad network of stakeholders, including internal teams, external partners, and household staff across multiple locations
- Provide day-to-day personal and operational support, handling a wide range of ad hoc requests with discretion and efficiency
- Assist with planning and execution of small- to mid-scale events (professional and personal), including vendor management, logistics, and guest coordination
- Support ongoing projects tied to his residences, investments, and philanthropic initiatives, tracking timelines, deliverables, and key stakeholders
Requirements:
- 10–20+ years of experience supporting a senior executive or principal in a fast-paced, high-demand environment (family office, UHNW, finance, or similar)
- Advanced proficiency in Excel and CRM systems such as Zoho, Salesforce, or HubSpot
- Proven ability to manage complex, multi-time-zone calendars and high-volume domestic/international travel
- Exceptional attention to detail with strong data management and organizational skills
- Ability to operate with a 24/7 mindset, including responsiveness outside standard business hours
- High level of professionalism, discretion, and communication skills, with the ability to act as a thoughtful partner to a fast-moving principal
Salary: $200k-$250k, plus fully paid benefits, 401k (with strong match), and more benefits/perks.
