Job Description
Overview
The Marketing Coordinator is a vital member of the marketing team, responsible for ensuring the operational and logistical success of marketing initiatives. This role focuses on supporting events, optimizing prospect list opportunities, managing the marketing pipeline, and providing essential administrative support. The ideal candidate will be detail-oriented, highly organized, proactive, possess excellent phone communication skills, and be comfortable handling multiple priorities in a fast-paced environment.
Key Responsibilities
Event & Campaign Support
● Make pre-event phone calls to pre-qualify prospects, send reminders, and manage RSVPs
● Organize, prepare, and assemble marketing materials, folders, and event supplies
● Support event logistics including setup, check-in, intro the presentations, and breakdown
● Attend and provide hands-on support for all marketing events
● Collect feedback forms and follow up with prospects after events
Pipeline & Prospect Management
● Enter and manage new prospects within CRM and event pipelines
● Conduct prospect vetting and schedule first visits
● Nurture and optimize current and past prospect opportunities through calls, emails, and texts
● Maintain and update the hitters list
● Make referral calls as needed
Administrative & Department Support
● Complete post-event data entry and maintain accurate records
● Monitor, rotate, and update marketing materials and folder contents
● Track inventory of print materials, place orders as needed
● Provide day-to-day administrative support including scheduling, data entry, and other marketing-related tasks
Qualifications & Requirements
● Bachelor’s degree in Marketing, Communications, Business, or related field preferred
● 1+ years of experience in a marketing, events, or administrative support role (internship experience considered)
● Effective verbal and written communication skills; comfortable with outbound calling
● Strong organizational and multitasking skills with attention to detail
● Familiarity with CRM systems
● Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
● Ability to work flexible hours, including some evenings for event support
● Positive attitude, strong work ethic, and a team-player mentality
