Hours Per Week - 37.5

Work Schedule - M-F 8:30-5

Compensation Range - $20.48-26.90

Summary - The Allied Health & Nursing Administrative Assistant provides comprehensive administrative and operational support to the Workforce Development Department, including open enrollment programs and apprenticeship partnership initiatives. This role assists the Program Director with course implementation while supporting program managers, the information specialist, and the lab and clinical coordinator in daily operations. Responsibilities include managing program and personnel files, maintaining organized records, and ensuring accurate data entry and tracking across systems. The position oversees general course and program communication, coordinates course evaluation distribution and data collection, inputs grades into Colleague, and manages colleague maintenance and adjunct faculty contract preparation. Additional duties include Credly badge management, post program completion verification, and support for clinical placement processes. The assistant also manages vendor contracts, purchasing, and invoicing, organizes program data, and uses Microsoft applications to create documents, reports, spreadsheets, and communication materials that support efficient and effective program operations across the Allied Health & Nursing Workforce Development unit.

Essential Role Responsibilities - Manage day-to-day program operations, including Colleague data entry, record maintenance, and accurate tracking of program information. Prepare, process, and maintain adjunct faculty and staff contracts, ensuring timely completion and compliance with institutional requirements. Coordinate course evaluation distribution, data collection, and organization of results for program review and improvement. Communicate effectively with students, adjunct faculty, vendors, and external partners to support program activities and resolve inquiries. Support course scheduling processes and assist with logistics related to program delivery. Manage purchasing and invoicing tasks, including vendor coordination, payment tracking, and documentation. Organize program data and analytics to support reporting, planning, and decision-making. Maintain program and personnel files, ensuring accuracy, confidentiality, and accessibility. Provide administrative support to the Allied Health & Nursing management team, faculty, students, and the general public. Collect and process grades, attendance, and other required course documentation. Participate in marketing meetings for program offerings and assist with brochure development and management. Manage Credly digital badge requirements in collaboration with the operations team, ensuring accurate issuance and troubleshooting. Confirm student tuition payment status prior to course completion and coordinate with finance or registration teams as needed. Provide end-of-program information and guidance to students applying for credentialing body exams and professional certifications. Prioritize and manage multiple projects simultaneously while applying a high degree of accuracy, efficiency, and attention to detail. Utilize Microsoft applications to create, update, and manage documents, spreadsheets, reports, and communication materials. Perform other duties as assigned to support the effective operation of the Allied Health & Nursing Workforce Development programs.

Minimum Education Required - High School or equivalent

Experience Required - Associate's Degree preferredMinimum of two years of experience in an office environment demonstrating strong technical, organizational, interpersonal, and problem-solving skills.Exceptional attention to detail and accuracy in all work performed.Proficiency in office operations with emphasis on data entry, record keeping, clerical procedures, and organizational systems.Strong skills in the Microsoft Office Suite, including Word, Excel, Outlook, and related applications.Preferred QualificationsExperience in a healthcare or allied health environment.Experience using Colleague, Canvas, or similar student information and learning management systems.

Physical Demand Summary - May require some lifting and moving boxes of supplies or instructional materials. May be asked to rearrange hours to meet specific division needs.
