Join a dedicated healthcare team in the heart of the Midwest region, supporting emergency department operations during night shifts. Under the guidance of the Director and direct supervision of the Shift Manager, the Administrative Unit Coordinator performs essential reception and secretarial duties while occasionally assisting with indirect patient care activities.

Key Responsibilities

  • Manage clerical tasks to support department efficiency and accuracy, including processing physician orders, coordinating with ancillary departments, and distributing clinical information.
  • Maintain patient flow awareness and communicate effectively with healthcare team members, patients, and families to enhance safety and quality outcomes.
  • Handle filing, printing, copying, faxing, charge entry, supply inventory, and departmental audits.
  • Prepare and disassemble medical charts for patient admissions and discharges, ensuring accurate labeling and documentation.
  • Manage telephone communications and office equipment to maintain smooth operations.
  • Provide indirect patient care such as patient transportation within and outside the department, managing bedside monitoring equipment, and responding to call lights.
  • Greet patients and visitors professionally, directing them appropriately and keeping them informed.
  • Maintain a clean, organized work environment, manage time effectively, and perform well under pressure.
  • Communicate clearly to reduce barriers and resolve conflicts using de-escalation techniques.
  • Document all relevant patient information promptly and accurately in medical records.
  • Participate in ongoing education, competency testing, quality audits, and council activities to uphold care standards.

Education

High school diploma or equivalent required. Medical clerical experience is preferred.

Experience

At least one year of experience in clerical, receptionist, or hospital duties is preferred. Proficiency in typing and computer skills is required.

Certifications

American Heart Association Basic Life Support (BLS) certification is required.

Mental and Physical Requirements

Requires considerable mental concentration. Physical activities include lifting up to 35 pounds, frequent walking, standing, turning, carrying, pushing, pulling, stooping, crouching, twisting, and reaching. Attention to detail and accuracy are essential.

Working Conditions

Exposure to infectious diseases and potentially hostile individuals may occur intermittently. There is potential exposure to communicable diseases via blood and body fluids, as well as radiation. The role involves frequent interruptions and distractions but minimal physical discomfort.
