Sales Operations Manager
LUXURYSOCALREALTY Compass is hiring an Operations Manager to run the systems behind a top-producing La Jolla luxury real estate team and keep the principals' days moving.
We'll be straight with you. This is a hybrid role, and a wide one. The core is operations: building and documenting the systems, owning the CRM, coordinating listings and transactions, keeping vendors and deadlines in line. On top of that, you'll create the team's marketing and social content, and you'll give the principals the day-to-day support a small team runs on, from calendars to the occasional supply run. Compensation:$30 - $35 hourly
Responsibilities:
What you'll own
Operations and systems (the core of the job)
- Build, document, and maintain the team's standard operating procedures so the business runs the same way every time.
- Own the CRM. Keep every record clean, current, and confidential, and make it something the team actually trusts.
- Manage vendors and contractors: photographers, stagers, sign installers, Compass Concierge coordination.
- Track team performance and build a simple weekly reporting the principals need to see what's working.
- Handle onboarding as the team grows, so new people get set up right and fast.
Listing and transaction coordination
- Coordinate pre-listing prep so a home is market-ready: staging, photography, repairs and punch lists, cleaning, and vendor scheduling.
- Manage the paperwork and logistics to get a new listing live, from the signed listing agreement to launch.
- Manage active transactions from accepted offer through close.
- Track every contingency, deadline, and signature. Nothing slips.
- Keep listing and transaction files organized, complete, and compliant.
Executive support
- Manage calendars and scheduling for Rob and Joy.
- Screen calls, emails, and messages. Surface what's urgent, filter what isn't.
- Coordinate travel, appointments, and daily logistics.
- Handle errands and office needs as they come up. Small team, real life.
Marketing, branding, and social media
- Create content for the team's social accounts: posts, captions, simple graphics, and short videos.
- Keep branding consistent everywhere it shows up, from listings to social to print.
- Build marketing materials for new listings and the team.
- Keep the marketing and social calendar on schedule.
- Coordinate with outside marketing vendors so listings and campaigns launch on time.
- Support the team's pipeline in Sierra Interactive as needed.
Qualifications:
Who we're looking for
- Five or more years in operations, transaction coordination, or executive support, ideally in real estate or another fast-moving, detail-heavy field.
- Organized to the point that disorder genuinely bothers you.
- A problem-solver who catches things before they become fires.
- Comfortable handling confidential information and tight deadlines.
- Solid with everyday tools: spreadsheets, calendars, and CRMs. Sierra Interactive and MLS experience are both a plus.
- Comfortable creating content and holding a brand line: social media, basic graphic design, marketing materials. Real estate marketing experience is a strong plus.
- A California real estate license is a plus, not a requirement.
- Able to work 100% on-site in La Jolla.
