Compensation: $23.00 per hour while temp & $60,000 to $65,000 when permanent in addition to a comprehensive benefits package and bonus potential

SUMMARY
The Association Manager is a key member of the Association Management team, supporting the client’s Executive Director and Board of Directors. This role is responsible for the association's effective administration, communication, and
overall operations. The Association Manager works closely with board members, volunteers, staff, and vendors to facilitate membership management, programming, website maintenance, marketing, conference planning, and to ensure organizational
excellence
ESSENTIAL FUNCTIONS
Association Management
- Operate in compliance with association-specific policies.
- Respond to client requests in a timely, professional manner.
- Work effectively with volunteer committees and interface with association members.
- Support the overall goals and objectives of the association through additional responsibilities as required.
- Provide input into client and Association Management Business Unit operations, processes, procedures, and policies.
Board and Governance Support
- Assist Executive Director with Board Communications
- Prepare and update dashboards using data from multiple sources (Finance, Membership, etc.)
- Attend board meetings, assist with meeting minutes, and update the Board Listserv.
Website Management
- Manage applications and custom forms for various association programs.
- Update sponsor pages on the website.
- General Website Updates
Membership and Volunteer Coordination
- Input and update member profiles daily.
- Input and update profiles for new members.
- Manage welcome communications and onboarding for new members.
- Prepare and distribute monthly membership reports.
- Handle invoicing and renewal communications.
- Import members into member benefit tools.
- Support Membership and volunteer engagement programs.
- Track volunteer involvement and assist with the creation of digital volunteer spaces.
- Committee support and coordination
Programming and Event Support
- Attend programming meetings, coordinate with speakers, and create events.
- Set up and support virtual and in-person events (Zoom meetings, registration, reminders).
- Create and evaluate surveys for event feedback and compile data for speakers.
- Track event attendance and prepare related reports.
- Create signage, nametags, and collateral materials.
- Order all conference/event supplies (e.g., banners, badges, lanyards, custom items.
- Organize and ship supplies as needed.
- Handle event check-ins, prepare materials, and issue refunds or promo codes as needed.
Sponsorship
- Serve as main contact for annual Corporate Memberships and Super Sponsorships
- Manage invoicing, renewals, updates, and serve as key staff contact for related concerns
- Oversee exhibitor/sponsor prospectus
- Manage all aspects of exhibitor and sponsor tracking communications and deliverables.
- Oversee the PheedLoop portal and update related web pages as needed to reflect exhibitor and sponsorship involvement
Conference Management
- Manage event registration and the conference app.
- Track registration and exhibitor metrics.
- Oversee email marketing for conferences and manage related promo codes.
Marketing and Communications
- Draft monthly newsletters and member communications
- Develop and maintain a weekly/monthly social content calendar aligned to marketing priorities.
- Manage scheduling and analytics tools (e.g., Hootsuite).
General Operations
- Manage association email inboxes and phone line, responding to member and non-member inquiries.
MINIMUM AND PREFERRED QUALIFICATIONS
- Bachelor’s degree or equivalent experience
- Minimum five years of business experience, preferably in non-profit membership organizations.
- Demonstrated achievements in project management, organizational skills, and administrative responsibilities.
- Excellent oral and written communication and interpersonal skills, including presentation and networking skills.
- Proficiency in Microsoft Office (Word and Excel) required, with the ability to learn new software.
- Familiarity with Association Management Software and Web Content Management Systems.
- Proficient in database management and communication systems.
- Basic design skills (Canva/Adobe) and familiarity with analytics dashboards
TRAVEL & SCHEDULING REQUIREMENTS
- Ability to travel at least 30% per year.
- Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.

- Occasionally required to position self in a stooping, kneeling, or crouching manner.
- Frequently communicates with others and must be able to exchange accurate information in these situations.
