Atlantic Spine Clinic is a growing integrated chiropractic and physical therapy practice dedicated to providing exceptional patient care and outstanding customer service. We are seeking an experienced, organized, and proactive Office Manager to oversee the daily administrative operations of our clinic and support our continued growth.
This position is ideal for an individual with prior experience in a chiropractic, physical therapy, medical, or rehabilitation setting who enjoys leadership, problem-solving, and creating efficient office systems.
Position Summary
The Office Manager will be responsible for managing the administrative and financial operations of the clinic, supervising front office staff, coordinating insurance and personal injury workflows, and serving as a key point of contact for attorneys, billing services, and the clinic owner.
The ideal candidate is detail-oriented, highly organized, self-motivated, and capable of managing multiple responsibilities while maintaining a positive and professional office environment.
Responsibilities
Office Operations & Administration
- Track and report weekly clinic performance statistics
- Track and report monthly clinic performance metrics
- Manage daily office expenses and monthly bill payments
- Renew and maintain business policies and licenses, including malpractice and liability insurance
- Schedule routine office maintenance and service appointments
- Sort and distribute incoming mail
- Deposit insurance and personal injury checks daily
Insurance & Billing
- Work directly with Flanagan Billing Services to address billing needs, errors, and discrepancies
- Complete insurance credentialing for providers
- Perform insurance pre-authorizations
- Conduct insurance benefit verifications
- Monitor insurance-related administrative tasks to ensure timely processing
Personal Injury (PI) Case Management
- Serve as the primary attorney contact for scheduling, reductions, documentation requests, and case-related communication
- Manage, send, track, and reconcile all personal injury accounts and payments
Financial & Human Resources
- Process payroll accurately and timely
- Schedule employee meetings, performance reviews, and staff development discussions
- Assist ownership with administrative projects and operational initiatives as needed
Team Leadership
- Manage and support front office staff
- Assist the Front Office Administrator with daily operations when necessary
- Maintain efficient workflows and ensure exceptional patient experience standards are met
Qualifications
Preferred Experience
- Minimum 2 years of office management experience in a chiropractic, physical therapy, medical, rehabilitation, or healthcare setting
- Experience with personal injury case management strongly preferred
- Experience with insurance verification, credentialing, and pre-authorizations preferred
- Familiarity with medical billing processes and insurance workflows
Skills
- Strong leadership and team management abilities
- Excellent organizational and time management skills
- Professional communication skills with patients, attorneys, insurance companies, and vendors
- High attention to detail and accuracy
- Ability to work independently and prioritize multiple responsibilities
- Proficiency with Microsoft Office, Google Workspace, and practice management software
