Job Qualifications
Current CMA Certificate
CMA of three years of health care related experience required; two years of previous medical office experience highly preferred
Advanced proficiency in Microsoft Office and knowledge of office based computer system required
Athena software experience a plus
CPR certification required
Skills
Ability to write legibly, read and comprehends medical/surgical terminology
Data entry skills, good written and verbal communication skills, good organizational skills
Ability to work in high stress situations required
Able to demonstrate the ability to work collaboratively with members of the health care team.

Clerical Duties
Opens office, turn on lights
Greets patients and visitors upon arrival to the office
Ensures appropriate paperwork is completed by patient (i.e. ABN's, consents for minors)
Verifies custodial papers are obtained and filed into chart
Ensures correct insurance information is on file
Registers patients into computer system
Scans insurance cards and ID into computer system
Schedules & maintains office appointments
Ensures documents are being processed in Athena's clinical inboxes
Handles and processes Medical Record requests, enter charges and process payments when indicated
Answers incoming calls and directs call to appropriate person
Performs cashier duties including collecting copays and balances
Data entry of daily office charges and weekly surgery charges
Maintains logs and statistics as required such as End of Month Checklist-Daily Refrigerator temperature
Coordinates and Schedules incoming referrals from PCP offices
Runs end of day reports
Ensures daily deposits are accurate
Calls patient ticklers for follow up care
Handles missing slips of charges such as pending pathology reports
Chart prep-obtain chart information from previous chart- data entry into new chart
Ensures all testing results/consult notes are in medical chart prior to upcoming appointment/surgery
Appropriately and accurately schedules surgical cases according to the facility's policy
Prepares preliminary and revised final surgical schedule and provides to physician
Completes Surgery packets-including H&P form, printing of clinical/admin notes
Obtain pre-op/hold blood thinner clearances if needed
Schedule post op appointment
Ensure CPT codes are current/correct and notate global dates for surgery
Prepare post op meds for patients
Schedules PAT appointment with facility prior to surgery
Assists with personal care, treatments, procedures
Patient assessment is complete and accurate including obtaining reason for visit, update pharmacy information, obtaining patients PCP and referring provider, obtaining patients allergies and medications, obtaining patients smoking status and past medical surgeries/health history
Care is implemented according to assessment of patient needs
Provides service with a courteous warm and gentle manner respecting patient privacy
Demonstrates appropriate technique when performing treatment and procedures
Ensures exam room is set up with proper surgery equipment supplies prior to in office surgeries/procedures
Ensures all testing results are in chart prior to appointment
Goes over surgery/procedure pre-op instructions with patients and answers any concerns/questions
Ensures specimens are labeled correctly and transport pickup is scheduled
Completes assigned procedures with minimal risk to patients
Treatments and procedures are administered in a gentle and caring manner and are fully explained before being administered
Treatments and medications are administered within established time frames and delays are documented
Demonstrates ability to obtain accurate vital signs-height/weight, heart rate, O2 levels
Recognizes and reports abnormal patient vital signs and changes in clinical condition
Prepares treatment rooms for patient examinations
Cleans treatment rooms following patient examinations
Documents the patients HPI,ROS, PE and findings on procedures performed by physician
Updates Health History if needed prior to surgery consent
Documents diagnosis and any orders dictated by physician-i.e.-Radiology testing, referrals and medications needed
Cleans and sterilizes medical equipment and instruments
Ensures scope solution is tested and temperature is in normal limits
Properly disposes of contaminated supplies
Assists physicians during in office procedures/surgeries

Maintains proficiency in all computer software skills for office duties
Utilizes copier machines, calculators and fax machines safely and performs routine maintenance as appropriate if needed
Maintains supplies in allergy clinic
Signs for incoming packages
Assists in putting away supplies
Demonstrates skill in the use of patient care products appropriate to area
Will maintain current knowledge base related to patient care products utilized and will identify unsafe equipment, remove from service and facilitate repair
Stock Allergy lab/room weekly
Wipes down Patient Rooms daily
Charge of daily/weekly cleaning of lab and Allergy clinic
Assists in daily removal of office trash
Referrals/Testing
Contact physician’s office to refer patient and obtain date, time and location of appointment
Chart export all medical records to physician’s office prior to appointment
Contact patient's insurance company to see if tests/surgeries require prior authorization
Coordinates and schedules testing for patients
Schedule follow-up appointment to review results of testing
Triage patient's symptoms and/or questions
Maintains Office Equipment and Supplies/Cleaning of Office
Maintains proficiency in all computer software skills for office duties
