Office Manager – Communications Express LLC

About Us

Communications Express LLC is a Northern Virginia-based two-way radio communications company specializing in commercial and public safety radio systems, service, and support. We work with businesses, property managers, contractors, and public safety organizations to deliver reliable communication solutions and responsive customer service.


We are looking for a highly organized, proactive Office Manager who can help keep day-to-day operations running smoothly while serving as a key point of contact for customers, vendors, and technicians.


Position Overview

The Office Manager will play a central role in coordinating office operations, customer communication, quoting, scheduling, inventory oversight, and administrative support. This role is ideal for someone who enjoys balancing customer service, operations, and technical coordination in a fast-paced small business environment.


You do not need prior radio industry experience to apply, but you should be comfortable learning technical products and systems.


Key Responsibilities


Customer & Office Operations

  • Serve as the primary point of contact for the office
  • Answer incoming phone calls and respond to customer inquiries
  • Coordinate and schedule service appointments with customers and technicians
  • Interface with customers to address service needs and follow up on open items
  • Ensure smooth day-to-day office operations

Sales & Quoting Support

  • Prepare customer quotes and proposals
  • Learn the radio products and systems we sell
  • Assist customers with product selection and order coordination
  • Coordinate with suppliers and vendors for pricing and availability

Inventory & Logistics

  • Track and order inventory and office supplies as needed
  • Ensure shipments and deliveries are completed on time
  • Maintain organization and cleanliness of the stock room
  • Receive and process incoming shipments

Technical & Administrative Support

  • Program two-way radios (training provided)
  • Ensure customers are invoiced accurately and promptly
  • Maintain organized records of orders, service requests, and inventory
  • Support technicians and management with operational coordination

General Office Responsibilities

  • Help maintain a professional and organized office environment
  • Assist with pantry and office stocking
  • Handle miscellaneous operational and administrative tasks as needed


Qualifications

  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Comfortable working with technology and learning technical products
  • Detail-oriented with strong follow-through
  • Ability to work independently and take ownership of responsibilities
  • Proficiency with Microsoft Office / Google Workspace
  • Experience with quoting, invoicing, inventory, or office administration preferred


Preferred Qualifications

  • Experience in telecommunications, electronics, logistics, or service businesses
  • Familiarity with two-way radios or technical equipment
  • Experience coordinating field service operations
