General Function

Provides comprehensive clerical and accounting support to the department by assisting customers, preparing deposits, reconciling accounts, supporting financial processes, analyzing data, receipting payments, reviewing financial documents, distributing mail, and participating in special projects.

Duties and Responsibilities

  1. Engage with college staff, faculty, students, and community members in a friendly, professional, and empathetic manner, ensuring their needs and concerns are addressed promptly and effectively

  2. Maintain clear and effective communication with customers through various channels, ensuring information is conveyed accurately and comprehensively

  3. Work collaboratively with team members and other departments to ensure a seamless customer experience and address any escalated issues.

  4. Stay updated on industry best practices and participate in ongoing training to enhance customer service skills and knowledge

  5. Accept and process payments through various methods and maintain accurate records of all transactions

  6. Adhere to Payment Card Industry Data Security Standard (PCI DSS) requirements to ensure the protection of customer payment information, including secure handling, processing, and storage of sensitive data

  7. Monitor and respond to departmental email and voicemail

  8. Process daily deposits, ensuring accuracy and compliance with financial procedures

  9. Support department specific duties (refunds, sponsorships, collections, payment plans, etc.)

  10. Balance and reconcile assigned accounts and/or funds; investigate and resolve discrepancies

  11. Provide support for month-end and year-end closing processes

  12. Gather and summarize data; conducts research and analyzes financial information

  13. Perform a variety of clerical duties, including drafting and managing correspondence, monitoring and replenishing office supplies, and maintaining accurate and organized records

  14. Assist with special projects and other duties as assigned

Minimum Requirements and Preferred Qualifications

G.E.D. or high school diploma and three years of relevant work experience; or a combination of work experience and education beyond high school totaling three years

  • Knowledge of computers and software (Microsoft Word, Outlook, and Excel)
  • Willing and capable of processing financial transactions, including handling cash

  • Excellent organizational skills and attention to details
  • Typing and data entry skills
Working Conditions

Typical office environment; infrequently lifting and carrying items up to 1Olbs.; infrequently twisting or bending at the waist or reaching overhead; infrequently traveling between buildings on campus, to other campuses; frequently listening to and talking with students, faculty, and other staff members in-person, email, instant messaging, or by telephone; frequently sitting at a desk or workstation using a computer display, keyboard, and mouse.
