Our client, a leader in global luxury beauty, is looking to bring on a Business Affairs Coordinator.

This is a contract role with an ASAP start date and will be a long term opportunity with extensions as the business needs. The role is hybrid onsite 2-3 days per week in their midtown nyc office.

Position Summary:

Seeking a proactive Business Affairs Coordinator to support the Creative Team in NYC. Business Affairs handles the financial and legal operations for the Creative department – including seven subdepartments (Design, Operations, Copy, Packaging, etc.) and a robust in house content production team. Reporting to the Head of Business Affairs, this person is the record-keeper for each content production, ensuring the program's payments and contracts are executed in a timely manner, following financial and legal protocols and guidelines. This Coordinator will be a partner to the Content Producers throughout the entirety of a production, managing vendor purchasing and billing, related legal agreements, as well as supporting resource management for a robust team.

Accountabilities:

  • Generate purchase orders in the Ariba system, across multiple cost centers and GL accounts
  • Process, manage and track a

    high volume

    of vendor invoices for Creative team
  • Update vendors and staff on outstanding payments
  • Communicate and resolve any issues with vendors, Corporate Finance and internal team members
  • Make and cascade updates to the Global Creative budgets under the supervision of the Head of Business Affairs, Creative Operations
  • Run weekly meetings with Production Team members to address needs and reconcile costs
  • Run monthly budget meetings with subdepartments to analyze spending and budget allocation
  • Draft and review contracts in coordination with legal and content producers, ensure agreements are fully executed by shoot date
  • Serve as Power User, resource and point of contact for all financial and legal questions within the department and Brand

Qualifications:

  • Bachelor's degree or equivalent experience
  • 3+ years finance, legal, or related experience
  • Strong

    Excel skills
  • A natural problem solver and collaborator
  • Detail-oriented, analytical thinker with ability to comb through large amounts of data
  • Exceptional organizational, prioritization, and time management skills with a strong attention to detail
  • Comfortable working independently in fast-paced environment where juggling multiple projects simultaneously is a given
  • Ability to exhibit grace under pressure and maintain a positive attitude and sense of humor under stress
