Position Summary
Better Weighs to Better Health is seeking a friendly, organized, and customer-focused Medical Receptionist to serve as the first point of contact for our patients. This role is essential to creating a welcoming patient experience while ensuring efficient front-office operations. The ideal candidate is professional, detail-oriented, and capable of managing multiple responsibilities in a fast-paced healthcare environment.
Operating Schedule: Tuesday through Saturday
Key Responsibilities
Patient Services
- Greet and welcome patients in a professional, friendly, and compassionate manner.
- Check patients in and out efficiently while ensuring a positive experience.
- Verify and update patient demographic, insurance, and contact information.
- Answer patient questions and provide information regarding office procedures and services.
- Maintain patient confidentiality and comply with HIPAA regulations at all times.
Appointment Management
- Schedule, confirm, and reschedule patient appointments using the practice management system.
- Coordinate provider schedules to maximize efficiency and patient flow.
- Send appointment reminders and follow-up communications as needed.
- Manage cancellations, no-shows, and waitlists appropriately.
Administrative Support
- Answer incoming phone calls promptly and direct inquiries to the appropriate team members.
- Manage incoming and outgoing correspondence, including emails, faxes, and mail.
- Prepare, organize, and process patient forms, records, and documentation.
- Maintain accurate electronic health records (EHR) and patient files.
- Assist with reports, data entry, and other administrative projects as assigned.
Billing and Financial Responsibilities
- Collect co-pays, outstanding balances, and other payments.
- Provide receipts and maintain accurate payment records.
- Assist patients with basic billing questions and direct complex concerns to the appropriate department.
- Support billing and coding processes when necessary.
Office Operations
- Maintain a clean, organized, and welcoming reception area.
- Monitor and replenish office and reception supplies.
- Collaborate closely with providers and clinical staff to ensure smooth daily operations.
- Assist with additional front-office duties and special projects as needed.
Daily Responsibilities
- Welcome patients and visitors upon arrival.
- Verify insurance coverage and update patient information.
- Schedule new and follow-up appointments.
- Confirm upcoming appointments through phone calls, text messages, or electronic communications.
- Process patient payments and answer general billing questions.
- Maintain accurate patient records and documentation.
- Coordinate communication between patients, providers, and staff.
- Ensure the reception area remains professional, clean, and inviting.
Qualifications
Required
- High school diploma or equivalent.
- Previous experience in a receptionist, administrative assistant, customer service, or healthcare support role.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Professional demeanor and exceptional customer service skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred
- Experience in a medical office, clinic, or healthcare setting.
- Knowledge of medical terminology and healthcare procedures.
- Familiarity with Electronic Health Record (EHR) systems.
- Experience with scheduling software, insurance verification, and patient registration processes.
- Proficiency with Microsoft Office Suite and general computer applications.
