Position OverviewThe Business Assistant I serves as the front desk coordinator and first point of contact for patients at Comfort Dental Care & Orthodontics, a multi-specialty dental practice. In this role, the BA I ensures smooth daily front office operations while creating a welcoming, professional, and patient-centered experience.
This position combines customer service, scheduling, insurance coordination, and financial communication, helping patients understand their treatment options and feel confident moving forward with care. The BA I plays a key role in both the patient experience and the financial success of the practice.
Key Responsibilities- Greet and check in patients, creating a positive and professional first impression in person and over the phone
- Manage front desk operations including scheduling, answering phones, patient check-in/check-out, and daily administrative tasks
- Clearly explain treatment plans and assist patients in making informed financial decisions, including securing commitment for treatment
- Verify insurance coverage and process claims accurately to maximize patient benefits and ensure proper reimbursement
- Maintain organized patient records while strictly following HIPAA guidelines to protect patient information
- Handle patient questions, concerns, and complaints with professionalism and a solutions-oriented approach
- Run reports, manage office systems, and support overall front office efficiency
- Collaborate closely with doctors, hygienists, dental assistants, and the Operations Leader to ensure seamless patient care
- Promote a positive, team-oriented work environment and uphold company values and standards
- Ensure every patient has an exceptional, comfortable experience from arrival to departure
- Complete required continuing education and follow OSHA and safety protocols
- Perform additional duties as assigned

- Bridges communication between clinical and administrative teams
- Ensures the office runs efficiently while keeping patient care the top priority
- High School Diploma or equivalent
- 2+ years of experience in a business, customer service, or office setting
- Associate's or Bachelor's degree
- Previous dental or healthcare front desk experience
- Strong customer service mindset with a patient-first attitude
- Organized, detail-oriented, and able to multitask in a fast-paced environment
- Confident communicator, both in person and over the phone
- Basic math skills (percentages, balances, payments, etc.)
- Tech-savvy and comfortable with office software and systems
- Self-motivated and able to work independently
- Positive, team-oriented attitude with a "can-do" approach
- Willingness to learn and grow through ongoing training and feedback
