Position Summary

The GM Warranty Administrator is responsible for processing manufacturer warranty claims accurately and efficiently while ensuring compliance with General Motors policies and dealership procedures.

This position works closely with Service Advisors, Technicians, Parts, and Service Management to ensure warranty claims are submitted promptly, paid accurately, and maintained in accordance with manufacturer requirements.

The ideal candidate is highly organized, detail-oriented, and committed to maintaining accuracy while supporting the success of the dealership's Service Department.

Responsibilities
  • Review repair orders for warranty eligibility and accuracy.
  • Prepare, submit, and process General Motors warranty claims.
  • Monitor and reconcile warranty receivables.
  • Follow up on rejected or unpaid warranty claims and process corrections as needed.
  • Maintain warranty schedules and ensure claims are submitted within manufacturer deadlines.
  • Audit technician stories, labor operations, parts usage, and documentation for compliance.
  • Maintain complete and organized warranty records.
  • Communicate with General Motors warranty representatives regarding claim questions and approvals.
  • Assist Service Advisors and Technicians with warranty procedures and documentation requirements.
  • Stay current on GM warranty policies, bulletins, and procedural updates.
  • Assist with warranty audits and manufacturer compliance reviews.
  • Work closely with the Accounting Department regarding warranty receivables.
  • Perform additional administrative duties as assigned.
Who We're Looking For

We're seeking someone who enjoys working behind the scenes to keep dealership operations running efficiently while maintaining a high level of accuracy and professionalism.

The ideal candidate will have:

  • Previous dealership warranty administration experience preferred.
  • General Motors warranty experience strongly preferred.
  • Working knowledge of dealership service operations.
  • Experience with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, or Tekion) preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong communication and problem-solving skills.
  • Intermediate computer skills, including Microsoft Office.
  • Ability to work independently while contributing to a collaborative team environment.
