Payroll Administrator

General Duties:
- Process weekly payroll accurately and on time for all employees.
- Maintain employee payroll records, including pay rates, deductions, tax withholdings, and direct deposit information.
- Ensure compliance with federal, state, and local payroll laws and regulations.
- Process new hires, terminations, wage changes, and employee status updates.
- Prepare and submit payroll tax reports and other required filings.
- Reconcile payroll reports, benefit deductions, garnishments, and payroll-related accounts.
- Ensure accurate employee records and benefit administration.
- Respond to employee questions regarding pay, taxes, benefits, and payroll deductions.
- Maintain confidentiality of employee and company payroll information.
- Assist with certified payroll reporting for prevailing wage projects as required.
- Prepare payroll reports for management and assist with year-end reporting, including W-2 processing.
- Support audits by providing payroll documentation and reports.
- Assist with accounts payable and other accounting functions as needed.
- Identify opportunities to improve payroll processes while maintaining compliance and accuracy.
- Coordinate and administer the company safety program.
- Maintain OSHA logs and other required safety records and reports.
- Coordinate drug and alcohol testing programs, including pre-employment, random, post-accident, and reasonable suspicion testing.
- Coordinate the full-cycle hiring process for both McKeever's and J&J Schlaegel, including posting job openings, reviewing applications, scheduling interviews, and communicating with candidates.
- Conduct pre-employment screenings, background checks, drug testing, and reference verification.
- Prepare offer letters, employment agreements, and new hire paperwork.
- Assist with other office duties as needed.
Requirements:
- Associate or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or related field preferred.
- Minimum of 2 years of payroll processing experience preferred.
- Working knowledge of payroll laws, tax regulations, and wage and hour requirements.
- Experience with QuickBooks Payroll and Microsoft Excel.
- Certified Payroll experience is a plus.
Skills:
- Proficient in Microsoft Office applications, especially Excel.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Exceptional attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Strong problem-solving and analytical skills.
- Ability to prioritize multiple tasks and meet strict deadlines.
