Payroll Administrator

General Duties:

  • Process weekly payroll accurately and on time for all employees.
  • Maintain employee payroll records, including pay rates, deductions, tax withholdings, and direct deposit information.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Process new hires, terminations, wage changes, and employee status updates.
  • Prepare and submit payroll tax reports and other required filings.
  • Reconcile payroll reports, benefit deductions, garnishments, and payroll-related accounts.
  • Ensure accurate employee records and benefit administration.
  • Respond to employee questions regarding pay, taxes, benefits, and payroll deductions.
  • Maintain confidentiality of employee and company payroll information.
  • Assist with certified payroll reporting for prevailing wage projects as required.
  • Prepare payroll reports for management and assist with year-end reporting, including W-2 processing.
  • Support audits by providing payroll documentation and reports.
  • Assist with accounts payable and other accounting functions as needed.
  • Identify opportunities to improve payroll processes while maintaining compliance and accuracy.
  • Coordinate and administer the company safety program.
  • Maintain OSHA logs and other required safety records and reports.
  • Coordinate drug and alcohol testing programs, including pre-employment, random, post-accident, and reasonable suspicion testing.
  • Coordinate the full-cycle hiring process for both McKeever's and J&J Schlaegel, including posting job openings, reviewing applications, scheduling interviews, and communicating with candidates.
  • Conduct pre-employment screenings, background checks, drug testing, and reference verification.
  • Prepare offer letters, employment agreements, and new hire paperwork.
  • Assist with other office duties as needed.

Requirements:

  • Associate or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or related field preferred.
  • Minimum of 2 years of payroll processing experience preferred.
  • Working knowledge of payroll laws, tax regulations, and wage and hour requirements.
  • Experience with QuickBooks Payroll and Microsoft Excel.
  • Certified Payroll experience is a plus.

Skills:

  • Proficient in Microsoft Office applications, especially Excel.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail and accuracy.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving and analytical skills.
  • Ability to prioritize multiple tasks and meet strict deadlines.
