We are looking for a Business Operations Specialist to provide comprehensive administrative and business operations support, covering executive calendar management, meeting and event coordination, expense processing, onboarding/offboarding, asset and vendor management, and day-to-day office operations.
The ideal candidate is a highly organized, discreet, and proactive administrative professional who can manage competing priorities, anticipate leadership needs, and work on-site in a fast-paced corporate environment.
Key Responsibilities
- Manage executive calendars, scheduling, and travel arrangements to ensure priorities are effectively coordinated.
- Coordinate meetings and events, including logistics, materials, and attendee communications.
- Process expenses and purchasing activities in accordance with company policies and procedures.
- Support onboarding and offboarding processes for team members, including equipment and access coordination.
- Manage assets, equipment inventory, and vendor relationships to ensure operational readiness.
- Oversee day-to-day office operations, including workplace readiness and team space management.
- Maintain SharePoint, Teams, distribution lists, and related business systems and resources.
- Handle sensitive and confidential information with sound judgment and discretion.
Requirements
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 3+ years of administrative, executive assistant, or business operations support experience, ideally supporting senior leaders in a corporate environment.
- Experience with calendar/travel management, event and meeting coordination, and onboarding/offboarding processes.
- Proficiency with Microsoft Outlook, Office Suite, SharePoint, and Teams.
- Familiarity with expense management (e.g., Concur), HRIS/vendor systems (e.g., Employee Central), and procurement/purchase order processes.
- Strong organizational, communication, and multitasking skills with sound judgment and discretion.
- Proactive, detail-oriented, and comfortable working both independently and as part of an admin team.
- Ability to lift up to 25 lbs (e.g., office supplies, equipment, event materials).
