Position Summary

The Business Development Representative & Admissions Coordinator is responsible for developing and maintaining referral relationships that drive patient growth while serving as a primary point of contact for prospective patients, families, and referral sources throughout the admissions process. This role combines community outreach, relationship management, marketing initiatives, insurance verification support, intake coordination, and admission conversion to ensure consistent census growth and exceptional customer service.

The ideal candidate possesses strong interpersonal skills, sales acumen, knowledge of behavioral health services, and the ability to navigate sensitive conversations with empathy and professionalism.


Essential Duties & Responsibilities

Business Development

  • Develop and execute a territory management plan to increase referral volume.
  • Build and maintain relationships with:
    • Hospitals
    • Emergency Departments
    • Primary Care Providers
    • Psychiatrists
    • Therapists
    • Community Mental Health Centers
    • Substance Use Treatment Programs
    • Schools and Universities
    • Employee Assistance Programs (EAPs)
    • Case Managers
    • Social Workers
    • Probation/Drug Courts
    • Community Organizations
  • Conduct regular in-person provider visits and networking events.
  • Represent the organization at conferences, health fairs, and community events.
  • Deliver educational presentations regarding outpatient behavioral health services.
  • Identify new referral opportunities and strategic partnerships.
  • Maintain referral database and CRM documentation.
  • Track referral trends and report business development metrics.
  • Collaborate with marketing on outreach campaigns and promotional materials.
  • Participate in strategic planning to expand market presence.


Admissions Responsibilities

  • Respond promptly to all referral inquiries and self-referrals.
  • Conduct initial phone screenings to determine clinical appropriateness.
  • Gather demographic, clinical, and insurance information.
  • Coordinate insurance verification and benefit review.
  • Explain program offerings, levels of care, scheduling, and expectations.
  • Schedule intake assessments.
  • Coordinate communication between prospective patients and clinical staff.
  • Maintain regular follow-up with pending referrals.
  • Assist families through the admissions process.
  • Ensure all required documentation is completed prior to admission.
  • Maintain accurate admissions records within the Electronic Health Record (EHR).
  • Monitor admission pipeline and conversion rates.
  • Communicate admission status to referral sources.


Referral Source Management

  • Serve as the primary liaison for referral partners.
  • Provide timely updates regarding referral status.
  • Ensure exceptional customer service to referral sources.
  • Resolve referral issues quickly and professionally.
  • Conduct routine follow-up with referral partners.
  • Develop long-term relationships that promote ongoing referrals.


Customer Service

  • Serve as the first impression of the organization.
  • Demonstrate empathy and professionalism during every interaction.
  • Respond to inquiries within established response time expectations.
  • Provide education regarding behavioral health treatment options.
  • Maintain patient confidentiality according to HIPAA regulations.

Documentation

  • Document all referral contacts.
  • Maintain CRM and EHR records.
  • Record outreach activities.
  • Track admission outcomes.
  • Generate weekly and monthly reports including:
    • Referral volume
    • Admissions
    • Conversion rates
    • Referral source activity
    • Outreach visits
    • Marketing activities


Required Qualifications

  • Bachelor's degree in Healthcare Administration, Business, Marketing, Psychology, Social Work, or related field preferred.
  • Minimum of 2 years of business development, admissions, healthcare marketing, or behavioral health experience.
  • Knowledge of behavioral health and substance use treatment preferred.
  • Experience working with insurance benefits and authorizations is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to build relationships with diverse stakeholders.
  • Valid driver's license and reliable transportation.
  • Proficiency with Microsoft Office and EHR/CRM systems.


Preferred Qualifications

  • Experience in outpatient behavioral health.
  • Existing referral relationships within the healthcare community.
  • Knowledge of commercial insurance and Medicaid.
  • Experience with behavioral health electronic health records.
  • Familiarity with Joint Commission and CARF standards.


Physical Requirements

  • Frequent local travel (approximately 5070% of work time).
  • Ability to lift up to 25 pounds.
  • Prolonged periods of sitting, standing, driving, and computer use.
  • Ability to attend community events, provider meetings, and networking functions.


Work Environment

This position operates in both office and community settings, requiring regular travel to healthcare providers, hospitals, and community organizations. Flexibility in scheduling may be necessary to attend networking events, evening functions, or community outreach activities.
