Service Coordinator

About the Position

Our Service Coordinator is the first point of contact for our customers and plays a vital role in the success of our maintenance operation.

You’ll help coordinate aircraft maintenance from the moment an aircraft arrives until it’s returned to its owner. You’ll communicate with customers, support our technicians, create work orders, assist with bookkeeping, and help ensure every project stays organized and on track.

This position is ideal for someone who enjoys solving problems, building relationships, and creating systems that help a business run efficiently.

While aviation experience is appreciated, it is not required. We can teach aviation—we’re looking for someone with professionalism, strong organizational skills, and a desire to learn.

Responsibilities

• Welcome customers in person, by phone, and by email
• Schedule aircraft maintenance and inspections
• Create, organize, and manage maintenance work orders
• Communicate with customers regarding scheduling, estimates, progress, and completion of maintenance
• Prepare invoices and process customer payments
• Assist with bookkeeping and data entry using QuickBooks
• Maintain organized customer files and aircraft maintenance records
• Coordinate parts orders and vendor communications
• Help monitor shop workflow to keep projects moving efficiently
• Identify opportunities to improve office procedures and customer service
• Provide administrative support to the management team
• Perform other duties as needed to help the team succeed

Preferred Qualifications

• Experience in customer service, service coordination, office administration, or operations
• QuickBooks or bookkeeping experience
• Strong computer skills, including Microsoft Office
• Excellent written and verbal communication skills
• Experience in aviation, automotive, construction, marine, or another service-based industry is a plus—but not required
