The Accounting Operations Specialist ensures the timely and accurate processing of financial transactions, maintains compliance with accounting standards and internal controls, and contributes to a collaborative, team-oriented work environment while identifying opportunities to improve processes and efficiencies.Position Type: This is a full-time, benefit eligible position that will work in-person at the National Baseball Hall of Fame and Museum in Cooperstown, NY. Benefits associated with this position include health insurance, dental insurance, retirement, flexible spending account, employee assistance program, and paid time off (vacation, sick, holidays). The salary range for this position is $22.00 - $25.00/hour.Key Duties and ResponsibilitiesAccounts Payable:Process purchase orders and vendor invoices, demonstrating proper document support, review, and approvalsEnsure proper account codes are used for expensesSchedule disbursements to vendors, ensuring timely paymentsManage vendor accounts, including invoice uploads and payment trackingReconcile vendor statements and assist in discrepancy resolutionMaintain physical and digital vendor filesAccounts Receivable:Generate customer invoices in a timely manner, ensuring accurate billing informationApply incoming payments to the correct customer accountsMaintain physical and digital customer filesRevenue Reconciliations:Perform daily reconciliation of museum sales activityPrepare bank depositsCreate sales journal entries for general ledger postingGeneral Responsibilities:Perform monthly reconciliations of accounts payable and accounts receivableAssist with month-end closingApply internal controls and ensure compliance with accounting standards and regulationsIdentify opportunities to improve processes while maintaining strong internal controlsUse ERP and AP/AR automation tools to streamline processes and improve efficiencyMaintain confidentiality and exercise sound judgment when handling financial and sensitive informationMust be available to work during the Hall of Fame's special events throughout the year, including mandatory availability during Hall of Fame weekend, the Hall of Fame's signature annual eventPreferred QualificationsEducation and Experience:Associate's degree in accounting (preferred) or business and three (3) to five (5) years of accounting experience in a professional or similar setting is preferred. However, an equivalent combination of education and relevant experience will be considered. At a minimum, candidates should possess one (1) to three (3) years of academic experience or related experience demonstrating a strong working knowledge of accounting principles and standard financial procedures to perform the essential duties of the position.Skills and Abilities:Proficiency in accounting software; NetSuite preferredStrong attention to detail, accuracy, and organizational skillsAbility to adapt, manage multiple priorities, and meet deadlines in a dynamic environmentStrong written and verbal communication skills with the ability to build effective relationships with vendors, customers, and internal stakeholdersAbility to follow written and verbal instructions, policies, and proceduresDemonstrates a positive, adaptable attitude and a willingness to learn and support othersProficient in Microsoft ExcelNonprofit accounting preferred, but not requiredExperience using AI tools to improve business processes, workflow efficiency, or administrative tasks is preferred, but not requiredOther Duties: Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
