Job Title: Business Systems Analyst & Testing Coordinator

Reports To: Director of Enterprise Program Management & Systems Integration

FLSA Status: Exempt

Department: Information Technology

Summary: The Business Systems Analyst - & UAT serves as a liaison among business stakeholders, end users, software vendors, implementation partners, and the Information Technology department. The role analyzes business processes; documents and validates requirements; coordinates and executes software testing and user acceptance testing; and helps ensure enterprise applications operate effectively and reliably. As a member of a small IT team, the position supports upgrades, enhancements, integrations, and implementations from requirements through deployment. Work is allocated approximately 40% to business systems analysis, 40% to software testing and UAT, and 20% to business application support. Implementation, change management, documentation, and reporting activities are performed within these allocations. This is not a software development or programming position.

Duties and Responsibilities include the following. Other duties may be assigned.

  1. Business Systems Analysis - Approximately 40%
  1. Partner with business stakeholders to understand operational processes, business challenges, objectives, and system needs.
  2. Gather, document, validate, and maintain business and functional requirements, acceptance criteria, and related documentation.
  3. Analyze workflows and identify opportunities to improve processes, efficiency, controls, and system utilization.
  4. Create process maps, workflow diagrams, business requirements, functional specifications, and user stories appropriate to each project.
  5. Facilitate requirements sessions, workshops, and cross-functional discussions, and obtain appropriate stakeholder validation before configuration, development, or testing begins.
  1. Software Testing, Quality Assurance, and UAT - Approximately 40%
  1. Develop and maintain test plans, test cases, test scripts, schedules, expected results, and requirements traceability.
  2. Execute functional, regression, integration, end-to-end, and user acceptance testing for upgrades, enhancements, integrations, and implementations.
  3. Coordinate UAT with business stakeholders, facilitate testing sessions, document results, and obtain appropriate sign-off.
  4. Reproduce and document defects, assess severity and business impact, and track each issue through correction, retesting, and closure.
  5. Validate system fixes and data outcomes before production deployment, and clearly communicate unresolved risks or limitations.
  6. Maintain repeatable testing standards, templates, evidence, and release-readiness documentation.
  1. Business Application Support - Approximately 20%
  1. Serve as a primary application contact for end users, software vendors, and implementation partners.
  2. Investigate and troubleshoot application issues, document findings, and coordinate vendor or internal escalation when necessary.
  3. Support enterprise applications used across operational, financial, customer, supply chain, and administrative functions.
  4. Validate data accuracy and business process outcomes following upgrades, configuration changes, integrations, and defect corrections.
  5. Maintain user-facing documentation and assist with training and adoption of new or changed system functionality.
  1. Cross-Functional Implementation, Documentation, and Improvement
  1. Support implementations and enhancements from requirements definition through deployment, including business-impact assessment, communication, training, and adoption.
  2. Evaluate dependencies, risks, and change-management needs associated with proposed system changes.
  3. Coordinate with internal stakeholders, software vendors, and implementation partners to ensure solutions align with validated business needs.
  4. Communicate project status, testing progress, unresolved risks, dependencies, and required business decisions to appropriate stakeholders.
  5. Maintain current project documentation, improve related work practices, protect sensitive information, and comply with company security requirements, policies, and procedures.

Qualifications

Education/Experience:

  • Bachelor's degree in Information Systems, Business Administration, Computer Science, or a related field, or an equivalent combination of education and relevant experience.
  • Minimum of three years of experience as a Business Analyst, Systems Analyst, Application Analyst, QA Analyst, or in a closely related role.
  • Demonstrated experience gathering and documenting requirements, analyzing business processes, and supporting enterprise applications.
  • Hands-on experience developing and executing test plans and test cases, documenting defects, and coordinating UAT.
  • Experience supporting, administering, configuring, or testing NetSuite ERP is preferred.

Knowledge, Skills, and Abilities:

  • Working knowledge of SDLC, software implementation, release management, and organizational change management.
  • Strong analytical, problem-solving, facilitation, organizational, and technical writing skills.
  • Ability to manage competing priorities, projects, deadlines, and stakeholder expectations simultaneously.
  • Ability to communicate effectively with technical and non-technical stakeholders.
  • Ability to build collaborative relationships across departments and with external vendors.
  • Ability to maintain confidentiality and handle sensitive business and system information.

Language Ability:

  • Ability to interpret business requirements, functional specifications, system and vendor documentation, policies, and procedures.
  • Ability to write clear requirements, process documentation, test plans, defect reports, training materials, and professional correspondence.

Math Ability:

  • Ability to perform basic business calculations and analyze quantitative information, percentages, trends, and system-generated results.
  • Ability to validate data totals, reconciliations, calculations, and reporting outputs following system changes.

Reasoning Ability:

  • Ability to analyze complex workflows, identify root causes, and recommend practical system or process solutions.
  • Ability to evaluate incomplete or conflicting information and exercise sound judgment when documenting requirements and risks.
  • Ability to prioritize responsibilities and meet deadlines in a fast-paced, cross-functional environment.

Computer Skills:

  • Advanced proficiency in Microsoft 365 applications, particularly Word, Excel, PowerPoint, and Outlook, plus Visio or comparable process-mapping tools.
  • Experience supporting or testing ERP, CRM, financial, supply chain, manufacturing, or operational systems.
  • Experience using test-management, defect-tracking, service-management, or project-management tools.
  • Working knowledge of APIs and integration concepts, data migration, reporting tools, and data-validation techniques.
  • Ability to maintain electronic documentation, generate reports, and manage application-support records.

Performance Expectations:

  • Requirements and acceptance criteria are documented, validated, traceable, and appropriately approved before configuration or development begins.
  • Test plans and UAT activities are completed with documented results, risks, and stakeholder sign-off.
  • Defects are accurately reproduced, prioritized, communicated, and tracked through resolution within agreed timelines.
  • Release risks, unresolved defects, and business impacts are clearly communicated before deployment decisions are made.
  • System documentation and training materials remain current, and post-release defects attributable to incomplete testing are monitored and reduced through continuous improvement.
