Finance Specialist

The Finance Specialist performs a variety of accounting and financial support functions that contribute to the Finance Department's daily operations. This position is responsible for cash management, deposits, reconciliations, accounts receivable support, journal entries, payroll backup, and month-end close activities. The Finance Specialist ensures financial transactions are processed accurately and in a timely manner, in accordance with organizational policies, while supporting the organization's overall financial reporting and operational goals.

Essential Duties and Responsibilities

The following duties represent the essential functions of the position.

Cash Management

  • Prepares and reconciles daily bank deposits.
  • Processes and balances cash, checks, electronic payments, and credit card receipts.
  • Prepares daily bank sheets and supporting documentation.
  • Monitors cash activity and assists with daily cash balancing.

Accounting and Financial Operations

  • Prepares and posts journal entries within Abila MIP Fund Accounting.
  • Processes intercompany and recurring journal vouchers.
  • Reconciles bank accounts, credit card statements, and assigned balance sheet accounts.
  • Assists with maintaining the general ledger and supporting schedules.
  • Researches and resolves discrepancies and reconciling items.

Month-End Close

  • Assists in the monthly financial close process.
  • Prepares assigned month-end reconciliations and schedules.
  • Pulls and organizes month-end financial reports and supporting documentation.
  • Maintains accurate workpapers for audit and financial reporting purposes.

Payroll Support

  • Serves as backup for payroll processing.
  • Prepares payroll support documentation and reconciliations.
  • Assists with payroll journal entries and related reporting.
  • Maintains payroll records in accordance with organizational policies.

Financial Administration

  • Maintains organized accounting records and electronic files.
  • Assists with internal and external audit requests.
  • Supports finance projects and operational initiatives.
  • Performs other duties as assigned by the supervisor.

Requirements

Qualifications include the knowledge, skills, education, experience, and credentials necessary to perform the essential functions of the position satisfactorily.

Required:

  • High school diploma or equivalent.
  • One to two years of related experience in finance, bookkeeping, payroll, banking, or business administration.
  • Knowledge of computerized non-profit accounting systems.

Preferred

  • An associate degree in finance, business administration, accounting, or a related field. A combination of relevant education and experience may be considered.
  • Experience with deposits, bank and credit card reconciliations, journal entries, financial software, and month-end close support is preferred.
  • Experience with Abila MIP, payroll systems, nonprofit organizations, or healthcare organizations is desirable.
