Practice Administrator/ Oral & Maxillofacial Surgery
Job Description
Key Responsibilities
Operations & Leadership
- Oversee the daily operations of the practice and multiple office locations.
- Develop and implement policies, procedures, and systems that improve efficiency and patient experience.
- Lead, supervise, coach, and hold staff accountable for performance and expectations.
- Conduct regular staff meetings and performance evaluations.
- Assist with recruiting, hiring, onboarding, training, and employee retention.
- Address employee performance and disciplinary issues when necessary.
Financial & Practice Performance
- Monitor practice production, collections, accounts receivable, and profitability.
- Review daily, weekly, and monthly financial and operational reports.
- Identify opportunities to improve collections, reduce unnecessary expenses, and increase efficiency.
- Work with billing and insurance teams to improve revenue cycle performance.
- Establish and monitor Key Performance Indicators (KPIs) for the practice and staff.
Patient Experience & Scheduling
- Ensure patients receive exceptional service from the first phone call through completion of treatment.
- Oversee scheduling efficiency and provider utilization.
- Monitor cancellations, no-shows, treatment acceptance, and patient satisfaction.
- Develop systems to improve communication and the overall patient experience.
Compliance & Administration
- Ensure compliance with HIPAA, OSHA, and applicable healthcare regulations.
- Oversee office policies, employee files, timekeeping, and administrative procedures.
- Coordinate with vendors, technology providers, laboratories, and outside service partners.
Strategic Growth
- Work directly with practice ownership to develop and execute growth strategies.
- Assist in evaluating new services, providers, technology, marketing opportunities, and expansion.
- Help build a strong culture of accountability, professionalism, teamwork, and excellence.
