Our client is a well-established defense litigation firm in the Miami area, representing physicians, hospitals, and healthcare institutions in medical malpractice matters. The firm is seeking an experienced Legal Assistant to support its Medical Malpractice Defense team in a fast-paced, high-volume litigation practice.

Position Summary

The Medical Malpractice Defense Legal Assistant will provide comprehensive litigation support to defense attorneys handling medical malpractice claims from intake through trial. This role requires strong organizational skills, familiarity with medical records and terminology, and the ability to manage multiple case deadlines in a deadline-driven environment.

Key Responsibilities

  • Manage and organize medical records, including obtaining, indexing, and preparing medical chronologies for attorney review
  • Draft, file, and serve pleadings, motions, and discovery documents in state and federal court, including e-filing through Florida's e-portal and PACER/CM-ECF where applicable
  • Coordinate scheduling of depositions, mediations, hearings, and independent medical examinations (IMEs), including preparing exhibits and deposition binders
  • Communicate directly with expert witnesses, insurance carrier representatives, opposing counsel, and court personnel regarding case logistics
  • Assist with trial preparation, including trial notebooks, witness and exhibit lists, and coordination of trial logistics
  • Track and calendar all case deadlines, statutes of limitations, and court-imposed dates using the firm's case management system
  • Maintain client and carrier billing guidelines and assist with timely, compliant invoicing
  • Conduct legal and factual research in support of case strategy as needed

Qualifications

  • 2+ years of experience as a legal assistant in medical malpractice defense or general civil litigation (medical malpractice experience strongly preferred)
  • Strong working knowledge of medical terminology and the ability to read and summarize medical records
  • Experience with Florida state court e-filing procedures; federal court experience a plus
  • Proficiency with case management and document management software (e.g., NetDocuments, iManage, or similar) and Microsoft Office Suite
  • Excellent written and verbal communication skills, with strong attention to detail and accuracy
  • Ability to manage a high-volume caseload independently and prioritize competing deadlines
  • Bilingual (English/Spanish) a plus
