Orthopaedic Clinical Research Assistant and Medical Scribe

Summary of Role

The Orthopaedic Clinical Research Assistant and Medical Scribe supports clinical research and patient care by assisting with study enrollment, participant follow-up, data management, regulatory documentation, and research records. This role also supports orthopaedic providers through accurate and timely documentation of patient encounters, entry of provider-directed orders and referrals, and coordination of patient care to promote efficient research and clinic operations.

Key Responsibilities

• Coordinate weekly removal and re-filing of subject folders.
• Enter and subsequently manage study data in necessary software program(s).
• Contact study participants as necessary via various modes of communication.
• Assist in maintaining Regulatory Binder and updating necessary training/certificates of all research staff.
• Assist in maintaining multiple spreadsheets to help track data entry and patient follow-up.
• Follow best clinical practice for coordinating medical research.
• Record medical histories and vital signs of patients.
• Enter charges and MAR for in-office procedures as needed.
• Scribe in patient room with surgeons to initiate documentation to include history, physical exam, impression, and plan.
• Enter in various imaging, therapy, and consult referrals into EPIC based on provider orders.
• Ensure accurate and timely documentation in EPIC.
• Expertise in navigating the EMR to document patient history and assist clinician in determining treatment plan.
• Work collaboratively with physicians, clinical staff, research team members, patients, and other stakeholders in a professional, ethical, and respectful manner.
• Perform assigned clinical research and medical scribing responsibilities with a high degree of autonomy, accountability, accuracy, and attention to detail.
• Exercise sound judgment, initiative, and discretion when completing assigned responsibilities and addressing day-to-day issues.
• Maintain an organized and efficient workflow while managing multiple priorities in a fast-paced clinical and research environment.
• Demonstrate flexibility and reliability in responding to changing clinical schedules, research priorities, and departmental needs.
• Communicate clearly and professionally with patients, providers, peers, management, visitors, insurance representatives, and other external contacts.
• Contribute effectively within a team environment while also working independently to ensure timely completion of study-related tasks and other assigned duties.
• Support a positive and professional image of the practice through courteous, responsive, and service-oriented interactions.
• Travel between satellite locations and work flexible days and hours as needed to support clinical and research activities.
• Maintain competency in all applicable responsibilities and complete required training within established timeframes.
• Other duties as assigned to facilitate clinic efficiency.

Qualifications

• High School Diploma or equivalent.
• Medical Assistant Certification/Registration, Athletic Training Certification, and/or Orthopedic Technician Certification/Registration.
• Proficiency in medical anatomy and terminology.
• Excellent listening and comprehension skills, including the ability to accurately understand varying accents, dialects, and communication styles.
• Strong written and verbal communication skills.
• Excellent organizational skills and attention to detail.
• Strong interpersonal skills and professional telephone etiquette.
• Demonstrated critical-thinking, analytical, problem-solving, and decision-making skills.
• Ability to prioritize, multitask, and maintain accuracy and efficiency, including in high-pressure situations.
• Ability to work effectively both independently and as part of a multidisciplinary team.
• Working knowledge of Epic or a similar electronic medical record (EMR) system preferred.
• Proficiency with Microsoft Office applications, including word processing and spreadsheet software.
• Ability to complete required CITI Program training within one month of hire.
