Job Title: Administrative Assistant (with potential for advancement)
Full Time: 8:00 am - 4:00 pm
Work days are according to the school calendar, but modified as necessary.
We are seeking a versatile and detail-oriented individual to support a STEM aviation high school with daily administrative operations. Spanish is a plus, but not required.
Administrative Assistant Responsibilities
- Answer and direct phone calls and respond to emails in a timely and professional manner.
- Utilize strong computer skills, including Microsoft Excel and Google Workspace, to manage data, create reports, and maintain tracking systems.
- Provide excellent customer service and serve as a professional point of contact for students, parents, staff, and visitors.
- Navigate difficult or sensitive situations with professionalism while communicating clearly and respectfully with students and parents.
- Oversee classrooms and provide appropriate supervision when the teacher of record is out of the classroom.
- Serve as the secondary point of contact for FACTS Student Information System (SIS) and FACTS Tuition Management System support and management.
- Maintain accurate and up-to-date student records, including enrollment, attendance, grades, schedules, and other academic information.
- Assist with student registration, enrollment, withdrawals, and record management within FACTS SIS.
- Coordinate grading and report card processes, including uploading grades, finalizing transcripts, requesting transcripts, and monitoring deadlines.
- Input student and school data into databases and tracking systems accurately and in a timely manner.
- Assist with student information requests, records transfers, and other administrative documentation.
- Troubleshoot system and technical issues, communicate with FACTS support as needed, and ensure concerns are resolved in a timely manner.
- Maintain confidentiality and ensure compliance with student and staff data privacy requirements.
- Monitor campus security cameras and report concerns to appropriate campus leadership to support safety and security protocols.
- Assist with the administration and tracking of Texas Education Freedom Accounts (TEFA) and related student/family processes.
- Develop familiarity with Education Freedom Tax Credit for Scholarships and other state or school-based programs, platforms, and reporting systems as applicable.
Qualifications
- Must be a U.S. citizen and successfully pass a required background check.
- Must possess a valid driver’s license.
- Strong organizational, communication, and interpersonal skills.
- Strong attention to detail and ability to manage multiple priorities and deadlines.
- Ability to maintain confidentiality when handling student, family, and employee information.
- Proficiency with Microsoft Office/Excel and Google Workspace.
- Ability and willingness to learn new technology platforms and school information systems.
Target Base Salary Range: $45,000 USD
Compensation details: 40000-45000 Yearly Salary
