In this role you will support the Directorate of Business Operations by handling official communications, records management, and program administration for a federal client. You will work with cross-functional staff, ensure timely task tracking, and oversee financial and travel processes in compliance with DoD standards. The position centers on improving office operations, document quality, and management oversight for ORF programs. You will engage with senior DoD leadership and Pentagon staff, contributing to mission-critical administrative workflows and organizational efficiency.
Responsibilities- Administer CATMS for all incoming/outgoing correspondence and suspense actions, ensuring timely assignment, tracking, and closure
- Oversee tasking and monitor suspense dates; coordinate with action officers for timely submissions
- Provide executive support and manage meetings, calendars, logistics, and tech setup for leadership
- Implement and enforce DoW records management policies; route and review official documents with quality control
- Coordinate travel and personnel actions in line with JTR and DTS requirements
- Oversee ORF program tracking and administrative support in accordance with federal guidelines
- Develop simple databases/spreadsheets to track metrics, personnel, and project statuses
- Perform document QA, formatting, and proofreading for executive communications; support briefing material preparation
- Serve as a point of contact for inquiries and provide clear explanations on tasks and operations
- Secret clearance
- 5+ years supporting DoD or federal agencies
- Hands-on experience with DoW correspondence, records management, and task management workflows
- Operational proficiency with CATMS or a closely related system
- Bachelor's degree desired
- Experience or familiarity with ORF management
- Excellent editing, formatting, and proofreading with high accuracy
- Strong written and verbal communication skills
- Experience supporting senior DoD leadership
- Excellent organizational and relationship-building skills
- Ability to work independently and prioritize for senior staff
- Proficiency in Word, Excel, Outlook, PowerPoint, and SharePoint
