Position: Regional Administrator


Location: Boulder, CO




The Regional Administrator position requires excellent organizational skills, be detail oriented, a self-starter, and have an enthusiasm for excellence for your work, as there will be numerous deadline requirements in this job.




Interaction with Brahma Group internal managers and external customers will be required, so excellent people skills are critical.




Specific job duties may include but are not limited to:




Project Support


• Create new projects in the Company’s database


• Issue Purchase orders in the Company’s database


• Track inventory issued from warehouse for projects


• Track Company equipment issued to project


• Coordinate equipment rentals for projects using Company’s preferred vendor system


• Scan all supporting documentation and invoices into job directories


• Perform daily payroll timesheet entries for projects


• Compile weekly timesheets and submit to Accounting for payroll processing


• Audit weekly payroll and issue payroll checks to projects


• Perform cost tracking for project spending including payroll, purchasing and equipment


• File old projects, employee information, invoices, payroll, and material inventories


• Compile and track warehousing costs for projects


• Assist Manpower team with data entry, recruiting, and onboarding




Invoicing


• Build invoices from project timesheets


• Coordinate review of invoicing with project management


• Submit invoicing to customer


• Track and follow up on customer payments


• Establish new customers in corporate payment system


• Update established customer billing rates


• Create monthly job report




Senior Management Support


• Client Document Control


• Document Package Compilation and Transmission


• Remote Meeting Coordination




Material Management


• Manage regional office’s purchase order database


• Perform material and supply ordering for projects and regional office


• Identify and setup new vendors in Company’s purchase order system


• Enter vendor invoices into purchase order database for approval


• Reconcile warehouse inventory variance reports with manager


• Enter Inventory adjustments in the Company’s material management system


• Collect all 3rd party invoices and PO’s and file with respective project


• Coordinate shipping/delivery of materials to project sites


• Review and approve monthly fuel and office invoices




Required Knowledge, Qualifications and Abilities:


• At least 4 years’ administrative experience required; experience as an office manager or lead administrator preferred


• High school diploma or GED required; bachelor’s degree in business or related field preferred


• Candidate must be able to work on multiple tasks simultaneously while re-prioritizing workload and switching between tasks as needed


• Applicants must have a strong work ethic


• Strong computer background, including proficiency with MS Office / Excel


• Good communications skills and ability to work with diversity of people


• Ability to work independently and in a team environment


• Must be able to pass a federal background check


• Experience with construction projects preferred


• Experience with Building Trades Unions and Project Labor Agreements preferred
