Position Overview


The Administrative Assistant will provide high-level administrative support to multiple senior investment professionals and play an important role in keeping day-to-day operations running smoothly.




The ideal candidate is polished, proactive, highly organized, and comfortable operating in a fast-paced professional environment. This person will serve as a trusted partner to senior professionals, anticipating needs, managing competing priorities, and handling confidential information with discretion.

Responsibilities



  • Manage complex and frequently changing calendars, including scheduling across multiple time zones.

  • Coordinate domestic and international travel, including detailed itineraries and agendas.

  • Prepare and submit expense reports.

  • Serve as a professional point of contact and gatekeeper for assigned executives.

  • Handle confidential information and correspondence with discretion.

  • Proactively identify and resolve scheduling conflicts.

  • Coordinate internal and external meetings, including video conferencing, catering, meeting materials, and other logistics.

  • Assist with executive-level meetings, events, board meetings, and off-site programs.

  • Prepare and edit PowerPoint presentations, Word documents, and Excel spreadsheets.

  • Build strong relationships with internal teams and external contacts.

  • Collaborate with the broader administrative team and contribute to a positive, team-oriented environment.

  • Anticipate the needs of senior professionals and provide a consistently high level of service.

  • Manage multiple priorities while maintaining accuracy and attention to detail.




Required Qualifications



  • 3+ years of administrative experience in a professional or corporate environment.

  • Experience supporting multiple senior-level professionals preferred.

  • Strong proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.

  • Excellent organizational and time-management skills.

  • Exceptional attention to detail and commitment to accuracy.

  • Strong written and verbal communication skills.

  • Ability to anticipate needs, take initiative, and work independently.

  • Ability to manage competing priorities in a fast-paced environment.

  • Demonstrated discretion when handling confidential and sensitive information.

  • Financial services experience is preferred but not required; strong candidates from other industries will be considered.




Preferred Qualifications



  • Experience supporting Managing Directors, Principals, Partners, or other senior executives.

  • Experience in financial services, private equity, investment management, or another professional services environment.

  • Experience with Concur and/or Salesforce.

  • Strong problem-solving skills and the ability to proactively find solutions.

  • Bachelor's degree preferred; candidates with a high school diploma and significant relevant experience will also be considered.
