Job Description

We are partnering with a global manufacturing organization seeking an experienced Executive Assistant to serve as a trusted partner to the Managing Director of its North American business. This is a highly visible role for a polished, proactive professional who thrives in a fast-paced environment and enjoys working closely with senior leadership.

Beyond traditional executive support, this individual will help keep priorities moving across the organization—managing a complex calendar and inbox, coordinating leadership reporting and follow-up, preparing executive-level presentations and briefing materials, and anticipating needs before they arise.

Essential Duties & Functions

  • Serve as a trusted partner to the Managing Director, proactively managing priorities, schedules, communication, and follow-up.

  • Manage a complex, high-volume calendar across multiple departments and time zones.

  • Monitor and organize executive email communications, identify priorities, and draft responses as appropriate.

  • Prepare executive summaries, briefing materials, talking points, meeting agendas, and other leadership communications.

  • Act as a liaison between the Managing Director and internal and external stakeholders, representing the executive office with professionalism and discretion.

  • Coordinate reporting and information across departments, ensuring deadlines, action items, and leadership priorities stay on track.

  • Create, edit, and format polished, modern presentations and visual materials for executive and board-level audiences.

  • Coordinate executive meetings, leadership events, and offsites.

  • Manage domestic and international travel arrangements, including detailed itineraries and logistics.

  • Anticipate needs, identify potential issues, and take initiative to keep executive priorities moving forward.

Qualifications

  • 5+ years of experience supporting senior executives in an Executive Assistant, Senior Administrative Assistant, or similar capacity.

  • Demonstrated ability to build trust and operate with a high degree of discretion and confidentiality.

  • Strong executive presence with polished written, verbal, and interpersonal communication skills.

  • Highly organized and able to prioritize competing demands in a fast-moving environment.

  • Proactive, resourceful, and comfortable working independently with limited direction.

  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.

  • Strong presentation skills with the ability to create clean, professional, executive-level materials; Canva experience is a plus.

  • Experience working within an international organization or alongside European teams is a plus.

  • German language skills are a plus but not required.

Why Join

  • Partner directly with the Managing Director in a highly visible, high-trust role.

  • Gain exposure to executive decision-making and board-level interactions within a global organization.

  • Have the opportunity to improve executive workflows, reporting, communication, and processes rather than simply maintain them.

  • Join an established international manufacturer with more than 100 years of history and a growing North American presence.

  • Comprehensive health, dental, and vision benefits.

  • Company-paid life insurance, short- and long-term disability insurance, and parental leave.

  • 401(k) with company match.

  • 20 days of PTO plus 11 company holidays, including a floating holiday.

  • Tuition reimbursement, training, and career development opportunities.
