Job Description

Office Administrator

The Person Who Keeps the Office Running Smoothly.

An office can have great people and good systems, but someone still needs to make sure the practical details are taken care of. From keeping records up to date to coordinating requests and making sure information reaches the right people, consistent administrative support helps the whole team work more efficiently.

We’re looking for an Office Administrator in Charlotte, NC to support daily office operations, coordinate administrative tasks, and help maintain an organized working environment. You’ll work with different departments, manage routine requests, and keep track of the paperwork, information, and arrangements that help the business stay on top of its workload.

This role would suit someone who enjoys variety, takes responsibility for getting things done, and likes being the person colleagues can rely on when something needs organizing.

Day to Day

  • Coordinate routine office activities and follow up on outstanding administrative requests.

  • Prepare, update, and organize business documents, spreadsheets, and internal records.

  • Manage office correspondence, including emails, incoming mail, and general enquiries.

  • Arrange meetings, update calendars, and help coordinate schedules when needed.

  • Maintain digital filing systems and ensure documents can be located easily.

  • Monitor office supplies and coordinate replenishment when required.

  • Gather information from colleagues and departments to support reports and administrative tasks.

  • Check paperwork for missing details and follow up when corrections are needed.

  • Keep contact lists, internal directories, and office information up to date.

  • Assist with preparing presentations, meeting materials, and routine business documents.

  • Communicate updates and pass requests to the appropriate team members.

  • Handle business information discreetly and follow established office procedures.

What’s Important

You’ll need strong organizational skills, clear communication, and a practical approach to managing everyday responsibilities. The work involves switching between different requests, so being able to prioritize tasks and keep track of details is important.

Previous office administration, administrative assistance, reception, records management, customer service, or clerical experience is useful, although training on company systems and procedures will be provided.

We’re looking for someone who is:

  • Organized and comfortable managing several tasks at once.

  • Careful when preparing documents and updating records.

  • Confident using email, spreadsheets, calendars, and standard office software.

  • Professional when communicating with colleagues and external contacts.

  • Able to work independently while contributing to a wider team.

  • Proactive about following up on requests and resolving routine issues.

  • Reliable, adaptable, and willing to learn new systems and processes.
