Business Support Specialist

Paradigm Technology is seeking a Business Support Specialist. This position is a year+ contract at our utility client in Knoxville, TN. Hybrid work schedule.

Responsibilities

Meetings & Scheduling

• Book project/team/stakeholder meetings.


• Work with facilities management to schedule spaces and arrange technology for 5-50 people.


• Prepare agendas & materials in advance.


• Take meeting minutes & track action items.


• Manage calendars for project managers/leads.

Documentation & Reporting

• Keep project files organized & current.


• Format and distribute reports, dashboards, and presentations.


• Track deliverables, deadlines, and outstanding tasks.


• Ensure version control of documents.

Communication

• Act as point of contact for inquiries.


• Send reminders & updates to team/stakeholders.


• Draft and proof emails, announcements, and notes.

Operations & Support

• Process project/personnel expense reports.


• Arrange travel & logistics when required.


• Order food & materials when required.


• Support onboarding for new staff/contractors.


• Order/track supplies and software needs.

Skills & Tools

• Strong organization & attention to detail.


• Microsoft Office (Word, Excel, PowerPoint, Outlook, Project, Copilot).


• Collaboration tools (MS Teams, SharePoint, OneDrive, SAP Concur).


• Ability to prioritize and manage multiple priorities and tasks.


• Clear communication (written & verbal).


• 2+ years of administrative experience; project or IT support a plus.
