Performance AI is hiring a highly organized, proactive, execution-focused Business Operations & Executive Assistant to work in person with our leadership team in Chicago.

This is not a basic administrative assistant role.

We are looking for someone who can take scattered priorities, organize them into clear systems, follow up consistently, and help the company operate with more structure, accountability, and speed.

This role sits close to the center of the business. You will support the CEO, help manage follow-ups, coordinate internal operations, support recruiting and onboarding, and make sure important priorities do not fall through the cracks.

What You'll Own

Executive Support

  • Manage CEO scheduling, meetings, priorities, and follow-ups
  • Prepare agendas, meeting notes, and action items
  • Draft professional emails, internal updates, and follow-up communications
  • Track commitments across employees, customers, vendors, candidates, partners, and investors

Business Operations

  • Build and maintain trackers, checklists, SOPs, workflows, and dashboards
  • Organize company documents, folders, and internal systems
  • Track owners, deadlines, blockers, and next steps across key priorities
  • Help create repeatable systems for meetings, onboarding, reporting, and internal coordination

HR, Recruiting, and People Operations

  • Coordinate interviews and candidate follow-up
  • Maintain hiring trackers and candidate pipelines
  • Support onboarding for employees and contractors
  • Organize offer letters, onboarding checklists, HR documents, and internal admin processes

Project Management and Follow-Up

  • Maintain company priority trackers and weekly action lists
  • Create weekly operational summaries for leadership
  • Follow up with internal and external stakeholders
  • Escalate blockers quickly and clearly

First 30 Days

You will help build or improve:

  • CEO weekly action tracker
  • Company priorities dashboard
  • Hiring and candidate tracker
  • Employee and contractor onboarding checklist
  • SOP templates
  • Meeting notes and action-item templates
  • Weekly operations summary format
  • Internal document structure

What Success Looks Like

You will be successful if:

  • CEO priorities are clearly tracked every week
  • Meetings consistently result in documented next steps
  • Follow-ups happen without leadership having to chase them
  • Hiring pipelines are organized and current
  • New hire onboarding is documented and repeatable
  • Key projects have clear owners, deadlines, and blockers
  • The company becomes more organized, accountable, and operationally disciplined

Ideal Candidate

You are:

  • Highly organized and detail-oriented
  • Strong in written and verbal communication
  • Comfortable working directly with senior leadership
  • Able to create structure from ambiguity
  • Strong at follow-up and accountability
  • Calm under pressure
  • Discreet with confidential information
  • Comfortable working in person in a fast-moving office environment
  • Willing to do both strategic coordination and hands-on administrative work

Experience

  • 3–6 years of relevant experience required
  • 5+ years preferred
  • Experience supporting a CEO, founder, or senior executive is strongly preferred
  • Experience in business operations, project coordination, HR administration, recruiting coordination, startup operations, or internal systems management is a plus

Tools Experience Preferred

Experience with some of the following is helpful:

Google Workspace, Slack, ClickUp, Notion, Airtable, HubSpot, Microsoft Office, DocuSign, LinkedIn, Gusto, Rippling, Deel, Justworks, QuickBooks, and Calendly.

You do not need to know every tool, but you should be comfortable learning systems quickly and keeping them organized.

This is a full-time, in-person role in Chicago.
