About the RoleUnder the supervision of the PQI Manager, the PQI Data Management Specialist supports the day-to-day operations of Kaleidoscope's Performance and Quality Improvement (PQI) system. This position plays a critical role in collecting, analyzing, maintaining, and reporting program data to support service quality, compliance, and data-informed program improvement.
What You'll Do- Uses valid and reliable data collection methods to measure program outputs, outcomes, and progress toward performance targets.
- Compiles, analyzes, and prepares data reports using information from multiple spreadsheets and program data sources.
- Assists in preparing documentation and materials for program monitoring and grant compliance reviews in accordance with funder requirements.
- Performs data entry for the Intact Family Services and THRIVE programs.
- Reviews data for trends, accuracy, and opportunities for improvement.
- Maintains and manages program databases, including data entry, quality review, and submission of required reports.
- Identifies potential new data collection points and tracking methods based on program data and reporting needs.
- Collaborates with the PQI Manager to ensure quality improvement activities for the Intact Family Services and THRIVE programs are effectively implemented, tracked, and documented.
- Supports the implementation of the Intact Family Services Performance and Quality Improvement (PQI) Plan.
- Participates in monthly Intact Family Services/THRIVE PQI meetings.
- Participates in the agency's PQI Committee and collaborates with the PQI Manager, and Chief Program Officer as needed.
- Prepares the Quarterly Intact Family Services Performance Reports.
- Prepares the monthly THRIVE data Report.
- Assists in administering surveys to Intact parents/caregivers to assess satisfaction with services.
- Maintains knowledge of DCFS and agency policies and procedures relevant to program operations and reporting requirements.
- Demonstrates the ability to utilize DCFS SACWIS and Performance Dashboard systems.
- Collaborates with the Community Resource Coordinator regarding Kaleidoscope/THRIVE network activities.
- Utilizes Excel and other data systems to analyze program data, including creating and maintaining formulas, tracking tools, and reports to support data-driven decision-making.
- Applies critical thinking and problem-solving skills to analyze data, identify trends, troubleshoot data issues, and recommend improvements to program processes and reporting.
- Responsible for filing paper submissions to files
- Performs routine physical filing of documents, including sorting, organizing, and placing records in appropriate file locations.
- Performs other duties as assigned by the PQI Manager.
What You Need- Bachelor's degree required
- Experience with continuous quality improvement, data entry, data analysis, or research preferred (not required)
- Minimum of one (1) year of experience in social services or a related field involving direct work with individuals, families, or communities (required)
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office, particularly Excel
- Ability to manage deadlines and work independently while collaborating with a team
- Valid driver's license and access to a minimally insured vehicle, as needed
Work Schedule & Environment- Full-time, 40-hour work week
- Primarily office-based/hybrid work environment
- Standard business hours are Monday-Friday, 8:30 a.m.-5:00 p.m., with flexibility based on program needs
- Occasional local travel for meetings or trainings
This is a mostly sedentary role involving extensive computer work and data entry, with occasional filing and office tasks.
