Job Description: Job Summary: The Administrative Assistant provides critical support to the K-12 Education Office by assisting with organizational practices and support tasks necessary for the work of New School Development. Working closely with the Director of New School Support and school founding Project Officers, this position is primarily focused on supporting the Director of New School Development with administrative tasks in a business office setting. Candidates must fully support the mission and philosophy of Hillsdale College and, specifically, the K-12 Education Office. The ideal candidate will be a strong communicator, well organized, proactive, skilled in managing multiple projects, and committed to supporting classical education. This role will direct administrative support while also serving as an essential liaison between the Hillsdale K-12 office and a nationwide network of schools.
Essential Job Functions:- Provide direct administrative support to the Director of New School Development, including scheduling meetings, managing calendars, and handling correspondence.
- Assist with document preparation, proofreading, and organization of reports, presentations, and training materials for teachers, teacher coaches, and other members of the school leadership times
- Assist in event-planning or event content contributions related to the New School Development Team (i.e. Governing Board Bootcamp and School Leader Bootcamp)
- Draft agendas, take meeting notes, and coordinate follow-ups for meetings within the New School Development Team
- Serve as a liaison between the Director of New School Development and founding efforts, ensuring smooth communication and timely responses
- Delivers other administrative support as necessary and assigned, including assisting in group meetings, creating reports, booking travel, and assisting with the maintenance of budgetary records and processes.
- Assists in K-12 Education Office activities and functions
- As an on-site employee and representative of the New School Development team, provide support as needed to assist with events, activities, and other functions supported by the K-12 Education Office.
- Maintains and safeguards a strict level of confidentiality, as appropriate.
- Assists in identifying opportunities for process and management improvements, and assists in the design and implementation of new systems.
Required Qualifications: Education and Experience: This position requires a bachelor's degree and a minimum of two years' administrative experience; or other experience that demonstrates the ability to perform the job.
Preferred Experience:- Background in educational administrative support, event planning, or project management
- Experience engaging with executives and high net-worth individuals in a professional setting
- Knowledge of school operational and governance structures, leadership evaluation methods, and strategic planning for K-12 institutions.
Required Knowledge, Skills, and Abilities:- Learning and following office procedures
- Proficiency in basic Microsoft applications.
- Ability to master and effectively use office specific software applications (Box, Monday, etc.)
- Employing excellent oral and written communication skills with the keen ability to understand and follow oral and written instructions.
- Supporting a fluid, high-impact work environment, requiring interpersonal and professional savvy
- Providing logical, consistent organization and keen attention to detail.
- Understanding the necessity of discretion and maintaining strict confidentiality.
Physical Demands: Personal Characteristics
The K-12 Education Office interacts routinely with College staff, visitors, and donors. A neat appearance and a pleasant relationship that is supportive of the College mission are essential. This relationship needs to be supportive and professional while maintaining confidentiality as needed.
