We are seeking a highly organized and adaptable Lead Law Firm Records Specialist to support daily operations within a fast-paced law firm environment. This individual will serve as the subject matter expert for records management and workflow coordination, ensuring efficient file room operations while partnering closely with attorneys and staff.
This is a hands-on role with no direct reports; however, the position requires leading workflow, providing guidance to a Records Associate, and stepping in across service lines—including reception, hospitality, and office services—as needed. The ideal candidate is dependable, detail-oriented, and comfortable working both independently and collaboratively.
- Job Title: Lead Law Firm Records Specialist
- Location:Bloomington, MN, 55420
- Schedule: Monday – Friday, 8:00 AM – 5:00 PM
- Pay Rate: $23–$25/hour
Key Responsibilities:
- Serve as the subject matter expert for file room processes, aligning with firm standards and strategic initiatives
- Oversee and manage daily workflow of records operations, including prioritization and task coordination
- Provide guidance and support to a Records Associate
- Prepare, organize, and maintain physical and digital files and documents
- File all incoming documents accurately, ensuring proper clip placement and order
- Retrieve, track, and deliver files, documents, and materials upon request
- Maintain attorney filing systems and ensure consistency across departments
- Support document digitization, offsite storage coordination, file labeling, and records destruction processes
- Transport files between offices, file rooms, and storage areas, including lifting and moving materials as needed
- Assist attorneys, secretaries, and staff with special projects
- Maintain a clean, organized, and professional file room and workspace
- Provide cross-functional support as needed, including backup coverage for reception, hospitality, and general office services
- Handle occasional offsite responsibilities, including mail pickups, storage visits, and bank deposits
Qualifications:
- Prior law firm records experience is required
- Strong knowledge of records management, document organization, and file room operations
- Experience with digitization, offsite storage, and records retention/destruction processes
- Ability to manage workflow and prioritize tasks effectively in a fast-paced environment
- Strong attention to detail and organizational skills
- Professional communication skills and a service-oriented mindset
- Ability to lift and move files as required
- Must have a valid driver's license and reliable transportation for offsite tasks
- Dependable, adaptable, and proactive with a willingness to support multiple service areas
