Position Summary
Holon Health is seeking a Practice Management Coordinator to support day-to-day clinical operations across our growing multi-state provider network. This role is the backbone of our practice operations—ensuring prescriptions, medical record requests, portals, and provider administrative workflows are handled accurately, quickly, and with empathy for the clients we serve.
This is a fast-moving role where priorities shift daily. You’ll work closely with providers, clinical teams, and operations to keep care moving forward—especially for clients who need consistent, reliable access to treatment.
What You’ll Do
- Manage and process incoming faxes across the provider roster
- Coordinate refill requests, prescription-related follow-ups, and Rx prior authorization documentation support
- Track payer-specific requirements (including training requirements and special workflows)
- Support referrals and miscellaneous clinical admin items that come in via fax
- Manage and respond to all medical record requests (200+ weekly and growing)
- Coordinate all record release requests, including:
- client’s own medical records
- referrals
- disability documentation
- compliance-related record requests
- Navigate “back and forth” cases where additional clinical history is needed (especially for restricted medications)
- Partner with clinical staff to ensure requests are completed accurately and within required timelines
- Maintain payer and clinical portals with up-to-date practice information including:
- provider roster
- locations
- access permissions / user management
- Support portal updates as we expand into additional states and payers
- Take on broader operational responsibilities as the department and company evolves
- Help identify process gaps, recurring issues, and opportunities to streamline workflows
What You Bring to the Table
- 1–3+ years of experience in healthcare operations, clinical admin, or medical office support
- Strong familiarity with: faxes and clinical documentation workflows, medical records requests / HIPAA-safe processes, provider support and patient-centered operations
- Highly organized and able to manage high volume without dropping details
- Ability to remain calm under pressure, responsive, and comfortable with changing priorities
- Excellent written communication and follow-through
Bonus Points If You Have
- Experience supporting SUD treatment environments
- Experience working in multi-state telehealth operations
- Familiarity with payer portals and provider enrollment tools
