We are seeking a warm, confident, and team-oriented Patient Coordinator who is passionate about delivering exceptional service while helping support practice growth.
This is more than a traditional front desk position — this role is a key touchpoint in every patient’s journey and an important part of our practice’s continued success.
About the Role
As our Patient Coordinator, you will play a central role in creating a seamless and positive experience for every patient from their first phone call to the completion of their care.
In this role, you will:
- Serve as the first impression and ongoing connection for our patients
- Manage and optimize the clinical schedule for maximum efficiency
- Communicate with patients via phone, email, and text with professionalism and warmth
- Coordinate appointments and presenting treatment plan discussions
- Verify insurance, calculate copay estimates, and explain financial arrangements to patients
- Support accounts receivable and insurance claim processes
- Maintain accurate patient records and documentation
- Contribute creative ideas for patient engagement and practice marketing

Key Responsibilities
- Greet and welcome patients with warmth and professionalism
- Manage incoming calls, messages, and emails
- Ensure all patient interactions are handled promptly and courteously
- Maintain accurate and up-to-date patient records
- Help create a welcoming and organized front office environment
Scheduling & Treatment Coordination
- Manage the clinical schedule to maximize productivity and patient flow
- Assist with treatment coordination and patient questions
- Clearly communicate insurance coverage and procedures
- Confidently present estimated treatment costs and patient co-pays
Insurance & Financial Coordination
- Verify patient insurance benefits and eligibility
- Calculate copays and treatment estimates
- Assist with batching insurance claims
- Support accounts receivable follow-ups and insurance communication
Marketing & Practice Growth
- Contribute ideas to increase patient engagement and new patient flow
- Assist with internal marketing initiatives and referral programs
- Support community outreach and patient relationship building
What We’re Looking For
- Previous experience in a dental or healthcare office preferred
- Strong communication and customer service skills
- Ability to confidently discuss treatment plans and financial arrangements
- Strong organizational and time-management skills
- High attention to detail with documentation and data entry
- Comfort using dental software (Open Dental experience is a plus)
- A proactive, solution-oriented mindset
- A positive and energetic personality who enjoys working with people

- Monday – Friday (alternating 4 day weeks)
- No weekends
